Job Title: Additional Registrar
Job Summary
The Additional Registrar assists the Registrar in overseeing and managing the academic and administrative functions of the university. This role involves supervising admissions, examinations, student records, faculty affairs, and regulatory compliance while ensuring the smooth implementation of institutional policies. The Additional Registrar supports strategic decision-making, governance, and process optimization to enhance operational efficiency and institutional effectiveness.
Key Responsibilities
Academic Administration
- Assist the Registrar in the management and implementation of academic policies and procedures.
- Oversee student registration, enrollment, and academic record-keeping.
- Support curriculum management and accreditation processes in coordination with academic departments.
Examination and Academic Records
- Coordinate the planning and execution of university examinations.
- Ensure confidentiality and security of examination materials and records.
- Assist in preparing academic transcripts, degree certificates, and other official student documents.
Faculty and Staff Administration
- Assist in faculty appointments, promotions, and leave management.
- Maintain faculty service records, workload distribution, and tenure decisions.
- Ensure compliance with institutional policies regarding faculty and staff governance.
Digital Transformation and Information Management
- Oversee the implementation and maintenance of university management systems (UMS).
- Ensure proper documentation and archiving of institutional records.
- Promote digitization and automation of academic and administrative processes.
Coordination with External Bodies
- Liaise with government agencies, accreditation bodies, and regulatory authorities.
- Ensure the university complies with higher education policies and guidelines.
- Facilitate collaborations and partnerships with other academic institutions.
Admissions and Enrollment Management
- Supervise the admission process and ensure compliance with university regulations and government policies.
- Work with the IT team to implement and maintain digital admission and student record systems.
- Ensure transparency and fairness in the student selection process.
Student Services and Welfare
- Address student grievances and disciplinary matters in collaboration with student affairs offices.
- Implement policies related to student support, welfare, and extracurricular activities.
- Enhance student engagement by coordinating with student unions and faculty members.
Governance and Institutional Compliance
- Support the Registrar in conducting meetings of the Senate, Academic Council, and Governing Board.
- Prepare agendas, minutes, and official records of university governance bodies.
- Ensure adherence to legal, regulatory, and accreditation standards.
Policy Development and Implementation
- Assist in formulating and implementing policies for academic and administrative efficiency.
- Contribute to policy revisions in response to changing educational trends and regulatory guidelines.
- Monitor adherence to institutional rules and procedures.
Qualification & Experience
- Master Degree with 2nd Division / B-Grade from HEC recognized University.
- The Candidate must have 12 years’ relevant experience in BPS-17 & above on administrative / academics or similar position in Government, Semi-Government teaching / research organizations.
- High academic achievements in Academic Administration with sufficient of working on responsible positions in Government, Semi-Government teaching / research organizations would be preferred.
Age: Maximum 55 Years
Technical Skills
- Knowledge of university management systems (UMS), student information systems (SIS), and digital record-keeping.
- Familiarity with legal and regulatory aspects of higher education.
- Experience in managing institutional data, reporting, and policy development.
Soft Skills
- Strong leadership, organizational, and decision-making abilities.
- Excellent written and verbal communication skills.
- Ability to work collaboratively with faculty, staff, and external stakeholders.
- High level of integrity, professionalism, and discretion in handling sensitive matters.
