Job Title: Assistant Publications Officer

Job Summary

The Assistant Publications Officer (APO) will provide editorial and administrative support to the Publications section, ensuring compliance with referencing styles, proofreading, and English language editing. The APO will work closely with authors, reviewers, and editors to enhance the quality of all published stuff including books, monographs, reports, working papers, webinar/ seminar reports, knowledge briefs, etc.

Key Responsibilities

  • Ensure submitted manuscripts comply with the formatting and referencing guidelines and prescribed style.
  • Review and correct in-text citations and reference lists for accuracy and consistency.
  • Conduct initial manuscript screening to check for completeness and adherence to submission requirements by utilizing software including MS Office Suite, reference management software (e.g., EndNote, Mendeley), and plagiarism detection tools (turnitin).
  • Ability to work independently and as part of a team, maintaining professionalism in all communications.
  • Liaise with authors to obtain missing information, resolve formatting issues, and ensure compliance with the Institutes overall guidelines.
  • Closely work with the Compositor to get all assignments formatted and designed prior to sending them to the press.
  • Must be well versed with the working of modern press and the essential formatting and design work prior to getting the print-ready copy completed.
  • Maintain an organized editorial database and ensure proper archiving of submissions.
  • Assist in preparing reports on submission statistics and editorial workflow efficiency.
  • Conduct detailed proofreading of manuscripts to eliminate grammatical, typographical, and punctuation errors.
  • Edit articles for clarity, coherence, and conciseness while preserving the author’s intended meaning.
  • Ensure consistency in terminology, style, and formatting throughout.
  • Provide constructive feedback to authors regarding language and structure where necessary.
  • Assist in coordinating the peer review process, including tracking manuscript progress and sending reviewer reminders.
  • Communicate with reviewers to facilitate timely completion of reviews.
  • Maintain an up-to-date record of manuscript submissions, revisions, and publication schedules.
  • Ensure all manuscripts adhere to ethical publication standards and citation practices.
  • Check for plagiarism and inappropriate citation practices using relevant software.
  • Support compliance with publication policies and guidelines.
  • Support the editorial team in organizing meetings, preparing minutes, and coordinating communication.
  • Perform other related duties as assigned by the Senior Publications Officer and the Chief of Publications.

Qualifications and Experience

  • Master degree (16 years) with 2nd Division / B-Grade in English or any of the Social Sciences.
  • Knowledge of Graphic Designing, In-Page and printing
Age: Maximum 35 Years
Technical Skills
  • Proficiency in publishing software (Adobe InDesign, LaTeX, Microsoft Office, and digital publishing platforms).
  • Knowledge of peer-review processes, indexing systems (Scopus, Web of Science), and academic writing standards.
  • Familiarity with open-access publishing, copyright laws, and intellectual property rights.
Soft Skills
  • Strong leadership, communication, and organizational skills.
  • Attention to detail and ability to manage multiple projects simultaneously.
  • High level of integrity, professionalism, and creativity in content curation.
